Email Tracking in Yoxel Add-ons

Track recipient engagement with real-time email open notifications and detailed insights in Outlook and Gmail using the Yoxel add-on.

The Yoxel add-on provides advanced email tracking capabilities within Outlook and Gmail, allowing users to monitor email opens and recipient activity in real time.

Key Features


  • Track Emails in Compose & Reply: Enable tracking when composing or replying to an email to monitor when recipients open your message. By default, tracking is enabled for all new emails. You can disable tracking for individual emails as needed.

  • Detailed Open Insights: When a tracked email is opened, the add-on records:

    • Open date and time

    • Recipient information (To and Cc)

    • Remote IP address

    • User-Agent (browser and device details)

  • Tracking Dashboard: The Tracking section in Yoxel displays a list of tracked emails along with timestamps and recipient engagement history.

Please note that there may be certain limitations to email tracking. For example, if the recipient is using an ad blocker, or if their email client does not support image loading, tracking may not be accurate. Additionally, some email providers or corporate firewalls may block tracking pixels, preventing us from recording opens.

Email Tracking Settings


Before you start tracking emails, it’s important to check the tracking settings in the Yoxel add-on. You can determine whether email tracking is enabled by default, or if it needs to be manually activated for each email.

Tracking Settings:

  1. Track by Default If this option is enabled, all emails you compose or reply to will automatically have tracking enabled. You’ll see the green eye icon in the add-on panel, confirming that tracking is active for your emails.

  2. Do Not Track by Default If this option is selected, email tracking will not be enabled unless you manually activate it for each email. You can still enable tracking by clicking the eye icon in the add-on panel when composing an email.

To check or change these settings, go to the Yoxel add-on settings page, where you can toggle between "Track by Default" or "Do Not Track by Default" according to your preferences.

Enabling Tracking in Outlook


When composing an email in Outlook, the Yoxel add-on automatically activates tracking. You will see a green eye icon in the add-on panel, indicating that tracking is enabled for this email.

Enabling Tracking in Gmail


Email tracking in Gmail using the Yoxel add-on is typically enabled by default. The tracking icon is located on the Gmail compose panel under "More Tools" and selecting "Email tracking" and is highlighted in green when the feature is active.

Viewing Tracked Emails in the Dashboard


After sending an email with tracking enabled, you can find it in the Tracking Dashboard under the All tab. This section displays all sent emails with tracking regardless of whether they have been opened and their current status:

  • Before the recipient opens the email: The dashboard will indicate that the recipient has not opened the email yet.

  • After the email is opened: The dashboard will update with detailed tracking information, including:

    • Email subject and timestamp

    • Open date and time

    • Recipient details (To and Cc)

    • Remote IP address

    • User-Agent (browser and device details)

This allows you to monitor recipient engagement and track email activity in real time.

Viewing Opened Emails


When a recipient opens a tracked email, it moves from the general list in the Tracking Dashboard to the Opened section. Here, you can see real-time details about the email’s activity:

  • Email subject – The title of the email that was opened.

  • Open timestamp – The exact date and time when the email was opened.

  • Recipient details – The name or email address of the recipient who opened the email.

  • Remote IP address – The IP address from which the email was accessed.

  • User-Agent – Information about the recipient’s browser and device.

This allows you to track when and how your emails are being accessed, giving you better insights into recipient engagement.

Real-Time Open Notifications


When a recipient opens a tracked email, the Yoxel add-on provides a real-time notification directly within the add-on panel. Above the Tracking Dashboard, you will see a counter indicating the number of newly opened emails.

  • If a single email is opened, the counter displays "1", notifying you of the event.

  • If multiple emails are opened, the counter updates accordingly, reflecting the total number of newly opened emails.

This notification helps you stay informed about recipient engagement without needing to manually check the tracking section. Clicking on the counter will take you to the Opened section, where you can view detailed tracking insights.

"Open Email" Button in Outlook


In the Tracking Dashboard, when a recipient opens a tracked email, an "Open Email" button appears next to the tracking details.

  • Clicking this button allows you to quickly navigate to the original email in your mailbox.

  • This feature helps you efficiently review the email content and follow up if needed.

By using this button, you can seamlessly access your email without manually searching for it in your inbox.

Viewing Contact or Lead from Tracking


If a contact or lead exists in Salesforce, you can navigate to it directly from the tracking dashboard. This feature allows for seamless integration between email tracking and Salesforce, enabling you to access relevant contact or lead details with a single click.

Stopping Tracking (Stop Tracking)


If you need to stop tracking a specific email after it has been sent, the Yoxel Add-on allows you to disable tracking manually.

Disabling Tracking for Individual Emails:

  1. Open the Tracking Dashboard in Yoxel.

  2. Locate the email you want to stop tracking.

  3. Click the "Stop Tracking" button next to the corresponding email.

  4. Once disabled, tracking for this email will stop, and you will no longer receive open notifications for it.

Disabling Tracking for All Emails:

If you want to completely disable tracking for all future emails:

  1. Go to the Yoxel Add-on settings.

  2. Select the "Do Not Track by Default" option.

  3. From now on, new emails will not be tracked unless you manually enable tracking.

Using the Stop Tracking feature helps you maintain privacy and manage email tracking according to your preferences.
