3\. Select an email/thread to view in Outlook/Gmail and the add-in will surface a relevant CRM lead or contact. You will be able to edit/delete the CRM record, convert a lead, created a task, log a call.

# Yoxel Sync - Custom sync solution for Outlook and Gmail

Yoxel Sync is a highly configurable rule-based sync of email, calendar events, contacts. See its AppExchange listing [here](https://appexchange.salesforce.com/appxListingDetail?listingId=a0N3000000B38M0EAJ).

### Automatic email logging

Yoxel automatically scans user inboxes and Salesforce accounts to discover and keep track of ongoing communications with clients.

# Installing Yoxel

### Start installation

***

To begin using Yoxel Sync you will need to install the trial version of the application from AppExchange. After 30 days, unless licenses are purchased, the app will stop functioning and you will not be charged.<br>

To install a trial version of Yoxel, visit the Yoxel AppExchange listing:

1. Go to the [Yoxel listing on AppExchange](https://appexchange.salesforce.com/listingDetail?listingId=a0N3000000B38M0EAJ).
2. Click the **Get It Now** button.

When you signup for the 30-day free trial you will gain access to the "every 10 minute" sync. If you would like to test more frequent synchronization, please contact us at <support@yoxel.com>.

### Sign in

If prompted, sign in using your Salesforce credentials. You may already be logged in. If so, continue to the next step.

### Choose install location

***

Tell Salesforce whether you are installing to a Production or Sandbox environment. Unless you have a sandbox account and plan to test that way, we recommend you choose **Production**.

**Sandbox:** allows you to use apps in a “test” environment, separate from your live production org. You must have admin access to your sandbox in order to install an app in the sandbox. When installed in the sandbox, there is no expiration date for the trial version of Yoxel.\
\
**Production:** your “live” production environment allows for easier conversion from trial licenses to active license without the need to reinstall application and recreate sync settings.

### Agree to terms and confirm the installation

***

This page confirms the installation version of Yoxel and the account being installed into. You are given the opportunity to read the Yoxel terms of service before you continue. Confirm the information, check the box to agree to the terms, and then click **Confirm** and **Install**.

Once you have agreed to the Terms and Conditions, you will be asked to confirm the installation. You will be asked for your credentials again. Input them and continue.

### Package details & access levels

***

Inside your Salesforce org, you have a chance to review the package details and choose the application access level. It is up you to decide which profiles will be given access to Yoxel. You can start with just admins, give all users full access, or choose access for specific profiles.&#x20;

Note that Yoxel is handled with licenses; nothing is visible to a user until a license is assigned.

### Remote sites

Yoxel communicates with Salesforce cloud service (Heroku) and internal database; permissions to those sites are packaged in the application. You must confirm the settings to continue with the installation.

### Install completion

***

You'll be taken to the processing screen while Yoxel installs. It should not take more than a few minutes for the process to be completed.

# Adding and removing users

Assigning a license for a user can be done on the Manage Licenses page for the Yoxel Sync package. Here you can select new users and remove licensed users.

Proceed to [Setup](https://na25.salesforce.com/setup/forcecomHomepage.apexp?setup) > Click [Installed Packages](https://na25.salesforce.com/0A3?setupid=ImportedPackage) (see link on the left in the App Setup section below the Salesforce toolbar) > Click **Manage Licenses** underneath the Action Column > Select Add Users or Remove multiple users.

Click **Add Users** to include new users to Yoxel and select who you want to give licenses. Click either A**dd All Users** or **Add** button. You will only be allowed to add users up to your Allowed Licenses total. You can purchase additional licenses by following steps in this [article](https://helpdocs.yoxel.com/yoxel-sync/how-do-i-cancel-my-subscription).\
\
After adding a user, the user should be able to access the [Yoxel Sync tab](/yoxel-sync/adding-yoxel-sync-tab-lightning). If a user has any issues accessing the tab, check their profile settings to ensure they have the correct permissions: [Enabling users to access Yoxel](https://helpdocs.yoxel.com/yoxel-sync/enabling-users-to-access-yoxel).\
\
Once you've finished assigning the licenses visit the **'Configure'** page of the Yoxel Sync package and go to '[User management](https://helpdocs.yoxel.com/yoxel-sync/managing-yoxel-sync-users)' menu. You can activate the sync for the newly licensed users from this page. Click **'Add new users'** link to do so.

* **Scheduler Enhancements:** The booking profiles (event types) UI now allows users to specify a “buffer time” between meetings to prevent back-to-back scheduling.
* **Follow-up Bot:** Automated follow-up emails sent by the bot are now delivered in full HTML format for better branding and readability.
* **Open-Tracking:** Significant performance and reliability improvements to the email open-tracking engine.

# Yoxel Manager Tab in Salesforce

A dedicated interface for team managers to monitor user sync activity, identify issues — all from within Salesforce.

The **Yoxel Manager** tab provides a centralized workspace for managing synchronization settings and user access directly within the Salesforce interface. By integrating these tools into the main navigation, Yoxel streamlines administrative workflows and increases visibility for team leads.

* **For Managers (Non-Admins):** Grants "manager" users direct access to the User Management UI. This allows team leaders to oversee their members and manage sync status without needing full Salesforce System Administrator permissions.

#### Assigning Users to a Template

Templates are applied to users directly from the template configuration.

**Add users**

Admins can assign users by clicking **Add users** and selecting who should be included in the template.

* individually from the list
* by filtering based on **profile**
* by selecting multiple users at once

This makes it easy to apply the same configuration to entire teams or roles.

# Yoxel Sync admin configuration

1\. In Salesforce Setup, on the **'Install Packages'** page find Yoxel Sync and click '**Configure':**

7\. Scroll down to the Calendar sync settings.

* Chose the sync direction.<br>
* Specify time range.<br>
* Specify all your email domains so that the sync could distinguish between internal and external attendees.

11\. 2nd, 3rd, and other additional templates will show the user assignment form. Use it to specify user record attributes for automatic assignment of the template.

# Testing Yoxel Sync (for admins)

### Prerequisites:

* Yoxel Sync package is installed.<br>

After you have configured at least one sync template ([Yoxel Sync admin configuration](https://helpdocs.yoxel.com/yoxel-sync/yoxel-sync-admin-configuration)) go to your Yoxel Sync tab ([Adding Yoxel Sync tab](https://helpdocs.yoxel.com/yoxel-sync/adding-yoxel-sync-tab-lightning)) to examine your sync status. If you chose 'self-authorization' mode in your template you will have to authorize Yoxel Sync to access your remote accounts. Expand a service and activate/authorize. At this point you can connect the sync to a test mailbox account.

Once all your services are active you can run the sync by clicking the **'Sync now'** button.\

# Managing Yoxel Sync users

### **User Info Section (left panel)**

In this panel, you can view and manage core user-specific settings:

* **Status tags** (e.g., `user disabled`, `admin`, `sync enabled`)
* **Email address**
* **External ID** (linked to Salesforce)
* **Timezone**
* **Template group**
* **Sync controls**:
  * **Sync now** button — manually initiates sync for this user.
  * **Advanced** — open **sync run advanced configuration**, where you can fine-tune what data will be synced (e.g. calendars, contacts, emails).
  * **Last ran at** — timestamp of the last sync job.

#### **Connected Systems**

***

Below the sync controls, you can view information about the user’s **connected services**.

Each service is shown as an **expandable panel** with:

* A **toggle** to activate or deactivate syncing for this service
* **General info** such as service type, server URL, email, and sync scope

> 💡 The list of services is user-specific and may include Salesforce, Google, Microsoft 365, or others depending on what’s connected.

### **Tabs with Activity Data (right panel):**

#### **Calendar tab**

Displays a list of events associated with the user, including:

* **Event ID, Subject, Source, Start time, Update time.**
* Events are automatically labeled.
* You can filter by: `sync enabled` , `errors`, `duplicates`, `private`, or `auto merged` entries.

#### **Contacts tab**

***

Shows synced contacts with:

* **Contact ID, First name, Last name, Email (summary), Update time.**
* Contacts are automatically labeled.
* You can filter by:  `duplicate`, `sync enabled`, `errors`, or `auto merged`.

#### **Emails tab**

***

Displays synced or discovered emails with:

* **Email ID, Summary, Subject, Update time**
* Emails are automatically labeled
* You can filter by `undiscovered`, `forwarded`, or `errors`.

#### **Tasks tab**

***

Lists tasks associated with the user, including:

* **Task ID, Subject, Source, Due date, Update time**
* Tasks are labeled
* You can filter by: `auto merged` , `sync enabled`, `duplicates`, `errors`, `private`, or  `incomplete` .

> 💡 This view allows quick troubleshooting: you can detect issues (errors, duplicates), view what data is being synced — all in one place. Each object (event, contact, email, or task) can be expanded to view detailed sync data.

5. You can edit a user’s profile and sync permissions by clicking the **pencil icon** next to the user’s name.

   This will open a modal where you can update:

   * **First name**
   * **Last name**
   * **Email**
   * **Status flags**:
     * **Admin** — gives administrative access to this user.
     * **Manager** — enables extended visibility and management rights.
     * **Disabled** — deactivates the user account.
     * **Sync enabled** — enables/disables syncing for this user.

# Adding Yoxel Sync tab (Lightning)

Otherwise click the App Launcher icon and start typing 'Yoxel'. The 'Yoxel Sync' item should be found under Items. # Adding Yoxel Sync tabs (Classic)

To add Yoxel tabs to the Salesforce toolbar proceed by clicking **“All tabs”** button (plus sign on the right side of the main navigation panel) and then clicking **"Customize My Tabs"** button:

Once you are on the Customize My Tabs page, (1) in the Available Tabs section scroll to the Conversations and Yoxel Sync tabs, click on them and (2) add them individually to the Salesforce toolbar by clicking the Add arrow. You are also able to (3) prioritize the tabs by moving them up or down with respective buttons. (4) Click the **"Save"** button after you are done.

# Activating admin approved pre-authorizations mode

In Salesforce go to **Setup > Apps > Connected Apps > Connected Apps OAuth Usage** and scroll down to find Yoxel Sync app. Click **Install** if you see the button ot click **Manage App Policies** if the app is already installed.

Click the Edit Policies button to change Permitted Users to **"Admin approved users are pre-authorized"**.&#x20;

On the app policies page scroll down to Profiles and click the **Manage Profiles** button. Specify all user profiles that should be approved for Yoxel Sync.

After the admin has configured the settings in Salesforce, they need to go to Yoxel’s admin app and enable this mode in the template.

On the page of the template wizard use Salesforce service and switch Authorization mode to "Authorizations will be provided by a Salesforce administrator". Then click Save.

After this you can step through the wizard and publish your template. All syncs under this template will start using this new mode of authorization and your users won't have to provide self-authorizations anymore.


# Authorizing Yoxel to access Outlook (MS Exchange)

To authorize Yoxel to access your Outlook account:\
\
1\. Choose MS Exchange in the **“Add service”** drop down menu.

2\. Specify how you would like to name your MS Exchange service in your Yoxel app instance and select what type of Exchange records you would like to sync.

4\. Add EWS service URL (the EWS URL should start with “https\://”.) Yoxel supports MS Exchange servers starting with 2007.<br>

1. To locate the right EWS URL try one of the following steps:\

   \- Check your current Outlook account settings: Account Settings->\[choose account]->More Settings->\[select Connection tab]->Exchange Proxy Settings. For Mac Users, try the Outlook Preferences-->Accounts-->\[choose account]--->Advanced\
   \
   \- Check Exchange provider's documentation. Often it will mention the EWS url when describing Entourage 2008 mail client configuration. \
   \
   \- For Rackspace hosted servers the url would be <https://ews.mex02.emailsrvr.com>. You may also see a URL that ends in '/ews/exchange.asmx'. For Rackspace users this is usually <https://ews.mex02.emailsrvr.com/ews/exchange.asmx\\>
   \
   \- If you don't know your EWS URL try the URL you use for webmail login.\ <br>
2. Open a separate browser window. Paste the EWS URL into the navigation window. If the URL does not end in '/ews/exchange.asmx,' add the '/ews/exchange.asmx' suffix to the server part, i.e. Rackspace users would paste/type <https://ews.mex02.emailsrvr.com/ews/exchange.asmx> <br>
3. If the EWS service is provided by your server you'll see an authentication box pop up in your browser. Use that box to test your username and password. Usually your username will be your email and if that does not work try your windows style 'DOMAIN\username' username. Upon successful login you'll get a page full of xml. Please fill Outlook service form using the username and password you used here.<br>
4. In Yoxel simply specify the server part of the url https\://\<server-name> (Yoxel appends /ews/exchange.asmx under the hood).<br>

5\. Specify username and password. These should be exactly those that are used to access your MS Exchange account online. The username could either be your email address or a windows style 'DOMAIN\username' login name.\
\
6\. Click **Authorize** button


# Enabling users to access Yoxel

If you have initially installed Yoxel Sync for admins only or for custom profiles only then some of your newer users that are not admins or users with different profiles may have troubles accessing Yoxel Sync tab and the sync capabilities. The article explains how you could enable Yoxel Sync for additional user profiles.

### Enabling users to access Yoxel for Enterprise Edition and up

1. Salesforce implemented a new UI for profile management a few releases ago. Unfortunately, the process of editing profiles now takes a lot more clicks. We recommend going to **Setup > App Setup > Customize > User Interface**, and unchecking the **"Enable Enhanced Profile User Interface"** checkbox at the bottom of the page just long enough to get this process done.<br>
2. Navigate to **Setup > Installed Packages > Manage Licenses**<br>
3. Click the **user profile** for which you want to enable access<br>
4. Click **Edit** button in the Profile Detail section<br>

### Enabling users to access Yoxel for Group and Professional Editions

In the Group and Professional Editions, field access is governed not by a profile but by a page layout. So please take the following steps:<br>

1. Navigate to Setup - App Setup - Create - Objects. (In the newer UI, navigate to Setup - Build - Create - Objects.)<br>
2. Click the **Conversation object**.<br>
3. Scroll down to the Page Layouts section, and click the Edit link next to the Conversation Layout.<br>
4. Drag each field in the Fields panel down into the detail area. You will have to do this one field at a time. The idea is to make sure that all the fields of the Yoxel Item object are visible to your users.<br>
5. **Save** the layout.&#x20;


# How do I cancel my subscription?

To cancel your subscription, please go to to your **AppExchange My Account** [page](https://appexchange.salesforce.com/myAccount). There you should see Yoxel app (YOXEL: Outlook & Google Calendar, Email, Co...) with a button to cancel subscription.\

# Migrating Yoxel to another Salesforce instance

When you do any kind of Salesforce migration (moving from one org to another, upgrading to another edition of Salesforce, etc.), you will be given a new Organization ID. When that occurs, you will need to re-install Yoxel and we need to transfer your subscription information to the new org.

Please submit a support case by emailing us at [support@yoxel.com ](<mailto:support@yoxel.com >)and let us know the migration is happening. We will leave Yoxel turned on in your old org for a couple of weeks to allow you time to compare/transfer data sets and settings before transferring all subscription information to the new org.

# Adding Yoxel Sync to Google Workspace allowlist

Email Sync for Google users requires special access that can only be administered by your Google domain admin. Here are the steps.

1. **Login to the Admin Console of your Google Workspace**

You must be signed in as a [super administrator](https://support.google.com/a/answer/2405986#super_admin) of your Google Workspace to complete the actions listed below.

# Setting up G Suite service account

To generate service-account credentials, or to view the public credentials that you've already generated, do the following in your Google API Console:

1. Open the [Service accounts page](https://console.cloud.google.com/iam-admin/serviceaccounts).
2. If prompted, select a project, or create a new one. You must enable the following APIs: Gmail API, Google Calendar API, Contacts API, Google People API, and Tasks API.
3. Click **Create service account**.

4. Under **Service account details**, type a name, ID, and description for the service account, then click **Done**.

5. Optional: Under **Service account permissions**, select the IAM roles to grant to the service account, then click **Continue**.
6. Optional: Under **Grant users access to this service account**, add the users or groups that are allowed to use and manage the service account.
7. From the main "Service accounts" screen select the newly created account

8. Click the **Enable G Suite Domain-wide Delegation** button to activate this feature (if it is not already enabled). Copy the **Unique ID**, as it will be needed later.\
   Click **ADD KEY** to create a new JSON key if there is no key yet (you will need to upload this key). Then save the form.

Now an administrator of the G Suite domain needs to delegate authority to the service account, using the Unique ID value you copied.

1. From your G Suite domain’s [Admin console](https://admin.google.com/), go to **Main menu menu > Security > Advanced settings \[API Controls].**
2. In the **Domain wide delegation** pane, select **Manage Domain Wide Delegation**.

3. Click **Add new**.

   `https://mail.google.com/`,\
   `https://www.googleapis.com/auth/contacts`,\

   If you plan to enable meeting transcript syncing, also include the following scopes:\
   `https://www.googleapis.com/auth/meetings.space.readonly`,\
   `https://www.googleapis.com/auth/drive.readonly`,\
   `https://www.googleapis.com/auth/documents.readonly`
6. Click **Authorize**.


# Uninstalling Yoxel

To uninstall Yoxel from Salesforce, go to Salesforce [Setup](https://na25.salesforce.com/setup/forcecomHomepage.apexp), navigate to [Installed Packages](https://na25.salesforce.com/0A3?setupid=ImportedPackage) section and click Uninstall link next to Yoxel Sync package. This will kick off an uninstall sequence that should uninstall Yoxel.

# Upgrading to the latest version of Yoxel

To upgrade your Yoxel version to the latest available release, follow these steps:

1. Visit the [Yoxel AppExchange page](https://appexchange.salesforce.com/listingDetail?listingId=a0N3000000B38M0EAJ).
2. Click the **Get it Now** button to install the upgrade.

This process will preserve all existing sync rules and settings without any data loss.

# Why am I email-notified about Yoxel Sync status?

Yoxel Sync must have been configured and activated for you. The sync tries to run but fails to access your remote accounts i.e. Salesforce, Office 365, MS Exchange, G Suite. There could be a couple of reasons for this:\
\
1\. **Unauthorized.** In order for Yoxel Sync to access your remote accounts, it needs to be authorized/allowed the access. Only you can do this! Please navigate to your Yoxel Sync tab in your Salesforce account and authorize the services that show 'Unauthorized' status.

2\. **Password expired.** This is mainly the case for MS Exchange users. Their Outlook password may have expired but Yoxel does not know a new password. In this case simply enter your new Outlook password in the service form:

3\. **Account provider issues.** Sometimes your account provider servers exhibit connectivity issues (server error, service unavailable, maintenance, ...) and Yoxel Sync can't connect to your remote account. Yoxel tries to suppress these notifications but will notify you if the problems persist for multiple sync cycles. There is nothing you can do to resolve these problems usually. Please contact our support (simply reply to the notification email) and we will try to work with your IT department.


# Meeting Transcript Sync

Automatically sync meeting transcripts, AI summaries, and attendance reports to Salesforce as event attachments.

### Overview

***

Meeting Transcript Sync allows you to automatically sync meeting-related artifacts into Salesforce, including:

* **Transcripts** — full meeting text
* **AI summaries** — key takeaways generated by the provider
* **Attendance reports** — participant activity and join/leave data

These files are synced as **attachments to calendar events**.

This feature works without recording bots and retrieves meeting artifacts directly from the meeting provider (Google Workspace or Microsoft 365).

### Requirements and limitations

***

Meeting Transcript Sync is subject to the following limitations:

* **Transcripts are available only for meetings organized by the synced user.**
* **Meetings must be longer than 1 minute** for Google Workspace or Microsoft 365 to generate transcripts.
* **AI summaries require an AI license** (such as **Microsoft Copilot** or the equivalent Google AI license). Without an AI license, only the transcript is synced when available.

#### **Update Sync Template**

1. Open **Yoxel Manager**
2. Select a **Sync Template**
3. Navigate to the **Calendar** section
4. Enable transcript sync "Attendance report and AI summary (transcript if AI is unavailable)"
5. Save changes and **Publish** the template

#### **Re-authorization**

After publishing the updated template, users must re-authorize their sync connections.

This step is required to grant permissions for accessing meeting artifacts.

# Activating Yoxel Salesforce Add-on

Once Yoxel Salesforce Add-on is installed you should be able to open it in the task pane for any selected email by clicking the add-on's icon:

The very first time around the add-in will ask you to authorize access to your Office 365 and your Salesforce accounts.\

# Activating Yoxel Sync from the add-on

[Yoxel Sync](https://appexchange.salesforce.com/listingDetail?listingId=a0N3000000B38M0EAJ) licensed users can activate the Salesforce sync right from the add-on.

Simply navigate to the add-in’s **‘Sync’** tab and click **‘Authorize’**.

To log an email to Salesforce click the **"Home"** button in the main menu and select the **'Log email'** menu item:

Whenever you select an email and start Yoxel Mailbox Assistant the add-in looks up all the email recipients (From/To/Cc) against your Salesforce CRM leads and contacts. In the task pane you may see three types of cards: leads, contacts, "unknown".

You can quickly turn the **"unknown"** card into a lead or contact. Simply click it and you'll see the two options: create lead, create contact.

A rule essentially defines a sequence of actions (wait time + follow-up email). An action defines how many days to wait for a response from a contact (optionally just in this thread) and what message to send if there is no response.

When setting up a rule, you can enable the **"Expect a thread response"** checkbox. If selected, the follow-up sequence will automatically stop once a response is received in the thread.

1\. Wait for 4 days, email "Ping... just checking in to see if you got this."\
\
2\. Wait for 6 days, email "Did you get my emails below? Let me know if you are interested in discussing."\

3\. Wait for 10 days, email "Ping... I have not heard back. Let me know if you want to have a convo."<br>

### Creating a Follow-up with Merge Variables

After setting up the rule condition, create a follow-up that includes a Drip message. This Drip message will be automatically sent when the rule is triggered.

In the message body, you can use your own `{{merge variables}}` such as `{{Name}}`, `{{Company}}`, and more.&#x20;

The Yoxel add-on provides advanced email tracking capabilities within **Outlook and Gmail**, allowing users to monitor email opens and recipient activity in real time.

### **Key Features**

* **Track Emails in Compose & Reply:**\
  Enable tracking when composing or replying to an email to monitor when recipients open your message. By default, tracking is enabled for all new emails. You can disable tracking for individual emails as needed.
* **Detailed Open Insights:**\
  When a tracked email is opened, the add-on records:
  * Open date and time
  * Recipient information (*To* and *Cc*)
  * Remote IP address
  * User-Agent (browser and device details)
* **Tracking Dashboard:**\
  The **Tracking** section in Yoxel displays a list of tracked emails along with timestamps and recipient engagement history.

### Email Tracking Settings

Before you start tracking emails, it’s important to check the tracking settings in the Yoxel add-on. You can determine whether email tracking is enabled by default, or if it needs to be manually activated for each email.

**Tracking Settings:**

1. **Track by Default**\
   If this option is enabled, all emails you compose or reply to will automatically have tracking enabled. You’ll see the green eye icon in the add-on panel, confirming that tracking is active for your emails.
2. **Do Not Track by Default**\
   If this option is selected, email tracking will not be enabled unless you manually activate it for each email. You can still enable tracking by clicking the eye icon in the add-on panel when composing an email.

To check or change these settings, go to the Yoxel add-on settings page, where you can toggle between "Track by Default" or "Do Not Track by Default" according to your preferences.

* **After the email is opened**: The dashboard will update with detailed tracking information, including:

* **Email subject** – The title of the email that was opened.
* **Open timestamp** – The exact date and time when the email was opened.
* **Recipient details** – The name or email address of the recipient who opened the email.
* **Remote IP address** – The IP address from which the email was accessed.
* **User-Agent** – Information about the recipient’s browser and device.

### Stopping Tracking (Stop Tracking)

If you need to stop tracking a specific email after it has been sent, the Yoxel Add-on allows you to disable tracking manually.

**Disabling Tracking for Individual Emails:**

1. Open the **Tracking Dashboard** in Yoxel.
2. Locate the email you want to stop tracking.
3. Click the **"Stop Tracking"** button next to the corresponding email.
4. Once disabled, tracking for this email will stop, and you will no longer receive open notifications for it.

# Collective Availability Sharing

Collective Availability Sharing allows users to generate scheduling links based on the combined availability of multiple internal team members. This makes it easier to coordinate meetings such as discovery calls or demos involving several participants.

#### How it works

From the Yoxel add-in, you can select multiple attendees when creating a scheduling link. The system aggregates their availability and generates a single booking link.

When the link is used:

* The booking page reflects the availability of all selected participants
* The meeting is scheduled only in time slots that work for everyone
* All selected attendees are automatically included in the event

#### Steps

1. Open the Yoxel add-in
2. Create a new scheduling link
3. Add multiple attendees to the meeting
4. Generate and share the booking link

#### Result

When someone books a meeting using this link:

* The event is created with all selected attendees
* Availability is respected across all participants

# Authorizing Yoxel to access your Teamwork account

Yoxel Sync will be accessing your accounts (Teamwork, G Suite, Office 365, MS Exchange) remotely and needs your authorization for that. Teamwork account authorization is API token based.\

1\. Start Yoxel Sync app from **'My Profile'** -> **'Integrations'** tab:

2\. Expand your Teamwork service/connector to confirm that your portal url and API token are already entered. Usually the url and the token will have been auto populated for you. Check what you'd like to sync **'Calendar'** (for calendar events and milestones), **'Tasks'.** Then click **'Save'.**

# Enabling Yoxel Sync integration in your Teamwork portal

Yoxel Sync is integrated into your Teamwork portal but an admin needs to enable the integration to make Yoxel Sync available for users.

1\. As an admin user go to your **Settings** -> **Integrations** page:

2\. Scroll down to find Yoxel's card on the Integrations page and click the **'Enable Yoxel Sync'** button.

3\. Now Yoxel Sync is available to your users and they can start configuring their syncs.\

6\. Click **'Configure Yoxel'** and a new browser tab will open where you're guided by a 3-step setup wizard. The first step is to set up your services/connectors. There is always the Teamwork service. And that is where you need to specify your portal url and enter the API token that you looked up earlier. Then also select what you'd like to sync: Calendar or/and Tasks. And click 'Save'.

# Looking up your Teamwork API token

# Authorizing Yoxel to access Gmail

To authorize Yoxel to access your Gmail account:

1\. Choose G Suite in the **“Add service”** drop down menu

After you have clicked the **Authorize** button you will be redirected to the Google account selector page. On that page select a Google account that you would like to sync with Teamwork.<br>

After you have selected the Google account you would like to sync you will be redirected to the Google authorization page that will ask you to provide Yoxel an offline access to your Google account. Please click Accept, you will then be redirected back to the Yoxel Sync app.


# Calendar sync rules for Gmail

To start the calendar sync you need to allow Yoxel to access Teamwork and Gmail calendars and then to configure the calendar sync rule.

### Allowing Yoxel to sync calendars

To allow Yoxel to sync calendars you need to navigate to your Yoxel sync page (from **'My Profile'** -> **'Integrations'**), expand Teamwork and G Suite services, and make sure that Calendar sync is selected for both services. After selecting Calendar sync modules, click the **Save** button.

To enable bi-directional sync select **"Allow updating, creating, deleting".** And to enable one-way sync from Teamwork to Gmail select **"Prevent any modifications"** option. This option will not allow Yoxel to sync any changes you make in Gmail back to Teamwork.

### Creating calendar sync rules for Gmail

Expand the calendar rule section for G Suite:

For Gmail you can enable Yoxel to sync either events from primary calendar **“All events from my primary calendar”** option, or only those that are assigned to calendars named after your projects, **“All events from project calendars and”** option. If you choose the second option for syncing, Yoxel creates the project calendars in your Google account and starts syncing your Teamwork events and milestones to them. You can also sync Google events directly to Teamwork projects by creating them in those project calendars in Google.\
\
You can sync up to one year of past events and two years of future events.\
\
**"Sync Teamwork meetings as"** is not supported at the moment as Teamwork does not have the "meeting" concept with clear specification of attendees. Please use the second option for now, **"Non-meeting events"**.\
\
To enable bi-directional sync select **"Allow updating, creating, deleting"**. And to enable one-way sync from Gmail to Teamwork select **"Prevent any modifications"** option. This option will not allow Yoxel to sync any changes you make in Teamwork back to Gmail.<br>

You can also sync Google tasks directly to Teamwork task lists by creating them in those project task lists in Google.

# User templates for Gmail

Yoxel templates allow administrators to setup team wide sync configurations. Multiple templates can be configured to support groups of users with different sync requirements. With the templates in place new users just have to authorize Yoxel to access their Teamwork and Gmail accounts, all sync rules will be pre-configured for them automatically.

### Accessing Yoxel templates

Templates are accessible only by Teamwork administrators. To access Yoxel templates navigate to the Yoxel Sync page and click the **template** icon:

### Multiple templates

Yoxel allows administrators to setup multiple templates. To create additional templates please select the **"Create template"** option in the template dropdown.

### Teamwork service setup

Once in the template setup wizard the Teamwork service is automatically pre-populated based on the current Teamwork company profile. \
\
Administrators need to expand the Teamwork service and select if they would like users to sync Calendar and/or Tasks. Make sure that the Teamwork service is set to Active.\
\
**“Lock user settings”** option will lock user-level service settings. Users will not be able to change the sync rules. For example, if an administrator enabled Yoxel to sync only calendars and locked Teamwork service, a user would not be able to start task synchronization.

### Gmail service setup

***

To set Gmail service, administrators need to:\
\
1\. Choose G Suite in the “**Add service”** drop down menu

3\. Specify Google Apps domains that users use. Only the users with emails from these domains will be allowed to use the service.\

4\. To finalize the G Suite service setup administrators need to select if they would like their users to sync Calendar and/or Tasks. **“Lock user settings”** option will lock user-level service settings. Users will not be able to change the sync rules. For example, if an administrator enabled Yoxel to sync only calendars and locks the G Suite service, a user will not be able to start task synchronization.\
\
The next step is to save changes by clicking the **Save** button and then to proceed to setting up sync rules by clicking **Go to step 2 >** button.

After you are done with the sync rule setup proceed by clicking on the **"Publish template"** button. Admins will be able to modify the rules after they are published by navigating to each rule and expanding each section.


# Authorizing Yoxel to access Outlook (MS Exchange)

To authorize Yoxel to access your Outlook account:

1\. Choose MS Exchange in the **“Add service”** drop down menu

4\. Add EWS service URL (the EWS URL should start with “https\://”.) Yoxel supports MS Exchange servers starting with 2007.<br>

* To locate the right EWS URL try one of the following steps:<br>

  * Check your current Outlook account settings: Account Settings->\[choose account]->More Settings->\[select Connection tab]->Exchange Proxy Settings. For Mac Users, try the Outlook Preferences-->Accounts-->\[choose account]--->Advanced<br>
  * Check Exchange provider's documentation. Often it will mention the EWS url when describing Entourage 2008 mail client configuration. <br>
  * For Rackspace hosted servers the url would be [https://ews.mex02.emailsrvr.com](https://ews.mex02.emailsrvr.com/). You may also see a URL that ends in '/ews/exchange.asmx'. For Rackspace users this is usually <https://ews.mex02.emailsrvr.com/ews/exchange.asmx><br>
  * If you don't know your EWS URL try the URL you use for webmail login.<br>
  * Open a separate browser window. Paste the EWS URL into the navigation window. If the URL does not end in '/ews/exchange.asmx,' add the '/ews/exchange.asmx' suffix to the server part, i.e. Rackspace users would paste/type <https://ews.mex02.emailsrvr.com/ews/exchange.asmx><br>
  * If the EWS service is provided by your server you'll see an authentication box pop up in your browser. Use that box to test your username and password. Usually your username will be your email and if that does not work try your windows style 'DOMAIN\username' username. Upon successful login you'll get a page full of xml. Please fill Outlook service form using the username and password you used here.<br>
  * In Yoxel simply specify the server part of the url https\://\<server-name> (Yoxel appends /ews/exchange.asmx under the hood).

5\. Specify username and password. These should be exactly those that are used to access your MS Exchange account online. The username could either be your email address or a windows style 'DOMAIN\username' login name.\
\
6\. Click **Authorize** button


# Calendar sync rules for Outlook

To start the calendar sync you need to allow Yoxel to access Teamwork and Outlook calendars and then to configure the calendar sync rule.

5\. Choose how Yoxel should connect to Outlook accounts. Admins have an option to have all users individually authorize Yoxel to access their Outlook accounts, using the **“User entered login and password”** option. Note that each time a user's MS Exchange password is changed, they will have to update the Outlook password in the Yoxel app as well.\
\
The other option, **“'Service login' credentials”** can be used to enter a special MS Exchange service login capable of impersonating other MS Exchange users. This allows Yoxel to access user mailboxes without user level credentials (username/password). With this option, the requirement to update the expired Exchange passwords in Yoxel is eliminated.\
\
6\. To finalize the Outlook service setup administrators need to select if they would like their users to sync Calendar and/or Tasks. **“Lock user settings”** option will lock user-level service settings. Users won't be able to change the sync rules. For example, if an administrator enabled Yoxel to sync only calendars and locks Outlook service, a user will not be able to start task or contact synchronization.\

### Creating calendar sync rules for Teamwork

Expand the calendar rule section for Teamwork:

You can sync up to one year of past events and two years of future events. By selecting **“Sync private events”** option you will authorize Yoxel to sync your private events to and from Teamwork.\

To enable bi-directional sync select **"Allow updating, creating, deleting"**. And to enable one-way sync from Teamwork to Outlook select **"Prevent any modifications"** option. This option will not allow Yoxel to sync any changes you make in Gmail back to Teamwork.

For Outlook you can enable Yoxel to sync either all events from your primary calendar **“All events from my primary calendar”** option, or only those that are assigned Outlook categories named after your projects, **“All events from project categories and”** option. If you choose the second option for syncing, Yoxel creates the the project categories when syncing Teamwork events and milestones to Outlook. You can then sync Outlook events directly to Teamwork projects by creating them in Outlook and assigning those project categories.\
\
You can sync up to one year of past events and two years of future events.\
\
**"Sync Teamwork meetings as"** is not supported at the moment as Teamwork does not have the "meeting" concept with clear specification of attendees. Please use the second option for now, **"Non-meeting events".**\
\
To enable bi-directional sync select **"Allow updating, creating, deleting"**. And to enable one-way sync from Outlook to Teamwork select **"Prevent any modifications"** option. This option will not allow Yoxel to sync any changes you make in Teamwork back to Outlook.


# Task sync rules for Outlook

To start task sync you need to allow Yoxel to access tasks and then to configure the task sync rule.

### Allowing Yoxel to sync tasks

To allow Yoxel to sync tasks you need to navigate to your Yoxel sync page (from **'My Profile'** -> **'Integrations'**), expand Teamwork and Outlook (Office 365) services, and make sure that Task sync is selected for both services. After selecting Task sync modules, click the **Save** button.

### Configuring the task sync rule for Salesforce

### Configuring the task sync rule for Outlook

For Outlook you can enable Yoxel to sync either all your tasks, **“All my tasks”** option, or only those that are assigned task list categories, **“All tasks from task list categories and”** option. If you choose the second option for syncing, Yoxel creates the task list categories when syncing your Teamwork tasks to Outlook. You can then sync Outlook tasks directly to Teamwork task lists by creating them in Outlook and assigning those task list categories.

# User templates for Office 365

Yoxel templates allow administrators to setup team wide sync configurations. Multiple templates can be configured to support groups of users with different sync requirements. With the templates in place new users just have to authorize Yoxel to access their Teamwork and Office 365 accounts, all sync rules will be pre-configured for them automatically.

### Accessing Yoxel templates

***

Templates are accessible only by Teamwork administrators. To access Yoxel templates navigate to the Yoxel Sync page and click the template icon:

### Multiple templates

Yoxel allows administrators to setup multiple templates. To create additional templates please select the **"Create template"** option in the template dropdown.

### Teamwork service setup

Once in the template setup wizard the Teamwork service is automatically pre-populated based on the current Teamwork company profile. \
\
Administrators need to expand the Teamwork service and select if they would like users to sync Calendar and/or Tasks. Make sure that the Teamwork service is set to Active.\
\
**“Lock user settings”** option will lock user-level service settings. Users will not be able to change the sync rules. For example, if an administrator enabled Yoxel to sync only calendars and locked Teamwork service, a user would not be able to start task synchronization.

### Office 365 service setup

To set Gmail service, administrators need to:\
\
1\. Choose Office 365 in the **“Add service”** drop down menu

2\. Specify how the Office 365 service should be named in the Yoxel Sync app instance by entering the name in the **"Display name"** field.

3\. Specify Office 365 domains that users use. Only the users with emails from these domains will be allowed to use the service.\

For example, if an administrator enabled Yoxel to sync only calendars and locks the Office 365 service, a user will not be able to start task synchronization.\

The next step is to save changes by clicking the Save button and then to proceed to setting up sync rules by clicking **Go to step 2 >** button.

# Configuring Salesforce Flow signals

### Prerequisites

***

* Yoxel Workspace Sync package (version 2.124 or higher) is installed. [See instructions](https://helpdocs.yoxel.com/yoxel-sync/installing-yoxel).<br>
* You (Salesforce admin) have the package license (use the 'Manage Licenses' link to assign one).<br>
* Yoxel Signals companion app needs to be installed. See [Getting started with Yoxel Signals for MS Teams](https://helpdocs.yoxel.com/workflow-signals/getting-started-with-yoxel-signals-for-ms-teams), [Getting started with Yoxel Signals for Google Workspace](https://helpdocs.yoxel.com/workflow-signals),[ Getting started with Yoxel Signals for Slack](https://helpdocs.yoxel.com/workflow-signals/getting-started-with-yoxel-signals-for-slack).

1\. In Salesforce Setup, on the 'Install Packages' page find Yoxel Workspace Sync and click 'Configure' to make sure your package is active and you have access.

2\. Review steps 1-4 from [Getting started with Yoxel Workspace Sync](https://helpdocs.yoxel.com/).\

3\. Get your integration token from the Yoxel Signals app (MS Teams, Google Workspace, Webex). A separate token is provided for every channel.\
\
4\. Go to Salesforce Setup > Flows to create a new flow:

5\. Choose the Record-Triggered Flow

Select and object and a trigger. Specify desired conditions.

Choose the 'Actions' optimized flow:

6\. Now, add an Action element

Choose the 'Send Yoxel Signal' action:

7\. Next, give this action element a name and fill out the key fields that will be sent to your Yoxel Signals apps.

* **Signal topic** - sending the signal to MSTeams, GoogleWS, Webex?<br>
* **Record Id** - required!<br>
* **Record Type Id** - specify if you use record types.<br>
* **Integration token** - Paste the channel integration token that you looked up in your Yoxel Signals app (in MS Teams, Google Workspace, Webex). It is used for routing this signal to your messaging app and a channel/space/room.<br>
* **Status message** - if you want to add a message that will be delivered together with the signal.<br>
* **Created date, Last modified date, Owner Id, Created by id, Last modified by id** - these are optional but fill them out if you can. These fields will help the app understand the triggered changes better.

Customize the signal card with the Field 1,2,3,4 settings. These are the labels and values that will be presented to the channel users.

Save the action/signal configuration.\

8\. After adding the action element, save and activate your new flow:

9\. Now you can test the signal delivery by creating/updating an actual CRM record. Expect to see a notification card like this in your channel:

# Configuring Hubspot Workflow signals

### Prerequisites

* Yoxel Signals companion app needs to be installed. * Have a web hook URL generated from the Yoxel Signals app (MS Teams, Google Workspace, Webex, Zoom). A separate URL is provided for every channel.

1\. In Hubspot, go to Automation > Workflows and click Create workflow \[From scratch]

2\. Choose what record types you want signals for (i.e. Deal-based) and 'Blank workflow' or 'Schedule' mode:

3\. Setup a desired trigger. For example, fire a signal when a deal is won:

4\. Now add a new webhook action:

1. Choose POST method
2. Insert the webhook URL that you got from the Yoxel Signals app
3. Choose the 'Include request signature in header' authentication
4. Enter Yoxel's app ID: 1234399

5\. Go to the Review stage and activate Re-enrollment:

6\. Test the signal by updating a record in the chosen module (i.e. Deal). Here is an opportunity signal that you would see in your messaging app:

1\. Go to Administration Settings > Web Logic Hooks and click 'CREATE'

2\. Give your hook a name, insert the webhook url that you got from the Yoxel Signals app, choose a trigger event, and module. Select POST method.

3\. Test the signal by updating a record in the chosen module (i.e. Opportunities). Here is an opportunity signal that you would see in your messaging app:

5\. Click the '⋮' menu on any thread message to find the 'Manage thread' action:

# Adding Pebbles to the Google Workspace allowlist

This setup is for G Suite accounts only!

Before connecting your G Suite account in Pebbles, you must add Pebbles app to the allowlist in Google Workspace admin console. The following section will guide you through the required steps.\

**1. Login to the Admin Console of your Google Workspace**\
\
You must be signed in as a [super administrator](https://support.google.com/a/answer/2405986#super_admin) of your Google Workspace to complete the actions listed below.

**2. Navigate to the API controls in Security Settings**<br>
